The Head of Finance and Office Administration role for this super interesting 15 person company with a big footprint in Santa Monica or REMOTE puts you in a leadership position to create impact and “Elevate the Way Business Does Business."

Your role within our “mature startup” environment will be to work directly with the CEO to ensure that the pieces needed to support the company’s sales, consulting, and product development teams are in place. Areas that you will oversee include Accounting, Finance, HR, and Office Administration. Your job is to make these functions lean, responsive, and accountable, with top-notch partners and contractors that you help select and oversee. Fluid, creative thinkers with a sense of ownership and a start-up can-do mentality are critical to success.

Responsibilities

Manage finance, accounting, and workflow as the company controller and operations exec

Oversee or perform day-to-day accounting, payroll, bookkeeping, insurance, accounts payables, invoicing, payroll, budget and cost controls, contract management, cash management, taxes and internal financial reporting. Less than 200 transactions a month. 

Responsible for timely and accurate recording and reporting of all financial transactions and system reconciliations.

Prepare monthly P&L and internal financial reports.

Prepare year-end filings as well as tax tracking.

Perform general ledger account analysis including journal entries.

Prepare financial statements on an accrual basis.

Reconcile balance sheet accounts, etc. 

Work with the head of delivery to track savings fees and audit fees from client consulting service contracts, issue resulting invoices, and collect payments.

Process and expedite all AR and invoices and input AP/AR invoices.

Research and reconcile invoices and statements.

Produce the weekly aging report.

Analyze and track the company services costs and margins.

Maintain active cash flow management report.

Prepare 1099 contractor payments and year-end IRS paperwork.

Manage project and company-based expense reporting (per diems, expenses, travel).

Manage and track all vendor POs and PO receiving.

Manage all corporate credit card entries and reconcile credit card and vendor statements.

Forecast corporate revenues in conjunction with the head of sales, head of delivery, and CEO.

Work with the CEO and executive team to produce annual budget plans and track actual expenditures against that plan.

Scale a finance/accounting team as needed to support company growth.

Manage HR processes in conjunction with a Professional Employer Organization (PEO)

Manage relationship with Insperity, a top PEO, which provides HR services such as payroll, benefits, counseling, dispute resolution, training, recruiting, etc.

Manage the hiring process and its execution with the hiring executives. Manage the search services and recruiters and track recruiting progress.

Manage on-boarding process and processes associated with resignation / termination.

Ensure staff is provided with proper and up-to-date documentation including policy manuals, handbooks, training materials, etc.

Maintain the company organizational chart.

Scale an HR team as needed to support company growth.

Office Administration

Manage CEO admin team to:

Schedule and track client and important company meetings,

Enter client meeting notes into the CRM,

Coordinate travel arrangements for employees and clients

Purchase and manage office supplies, furnishings, and other office expenditures, and

Assist with any accounting and HR duties

Contract and manage skilled contractors and outsource firms for help with accounting, finance, and office administration as needed. Some are in place already.  Supplement team as needed by selecting best-of-breed providers.

Negotiate and redline contracts to ensure business requirements are met.

Company Operations

Ensure accountability throughout the organization.

Work with the CEO to establish performance targets for each department.

Track progress towards individual and collective goals as well as corporate metrics.

Facilitate internal and external reporting to the CEO and board of advisors.

Work with the CEO to implement operational policies and processes.

Recommend improvements in technology, processes and policies to grow efficiently.

Review and drive company adoption of new business software.

Coordinate with executive team on process implementation and improvements.

Assist the CEO to continuously improve profitability and other KPIs.

Work with legal team to ensure that all activities are performed in compliance with applicable laws and regulations.

Maintain various cultural activities to enhance company morale.

Facilitate special projects as required by CEO and Chief Strategy Officer.

Qualifications

Master's Degree in Finance or Accounting required.

Five to ten years of experience in senior-level corporate finance or accounting required.

Expert knowledge of finance, accounting, budgeting, and cost control principles including Generally Accepted Accounting Principles (GAAP).

Experience with stock compensation.

Ideally has experience with SaaS software revenue recognition.

Experience with automated financial and accounting reporting systems.

Ability to analyze financial data and prepare financial reports, statements and projections.

Experience with short and long term budgeting and forecasting, rolling budgets, and service profitability analysis.

Experience with receiving and processing payments, entering payments into computer systems, and balancing receipts and payments.

Experience with preparing periodic reports and financial statements.

Experience with sorting, reviewing, coding, completing, distributing, and/or filing routine documents such as invoices.

Target Compensation

Compensation model of base plus a quarterly bonus composed of company and individual performance metrics. Pay range is OPEN commensurate with experience and qualifications as well as participation in employee stock plan. Can be hourly contractor depending on the role.
